Transcription Process

Dictating with InSync / InTouch (Telephone based Dictation System)

MyTranscripts has integrated its software to work with several popular versions of digital recorders automatically. MyTranscripts recommends the "Voice-It" Digital Recorder (pictured below), the Olympus DS 3000 or Olympus DS 330..

Voice-It and Olympus digital recorders can record several hours of dictation. In addition to offering the functionality of traditional cassette recorders, it allows the user to insert speech in the middle of a dictation without deleting any of the existing recordings. Along with this advantage, the recorder can store client-defined work types, author ids and other information that are easily identified by InSync when the dictations are uploaded and insured of proper routing.

To Dictate:

  • Clinician chooses work type by pressing Folder button on the recorder.
  • Clinician presses the "Record" button once and begins speaking.
  • When complete, clinician presses the "Record" or "New" button again to end the dictation.

It's that simple. To dictate another dictation, simply follow the above steps

Dictation Upload using InSync

When the dictation files are complete, the clinician docks the digital recorder to a computer — similar to docking a Palm Pilot.

Once docked, the dictations are automatically transferred to MyTranscripts through the Internet — encrypted with 128-bit encryption technology — with InSync. This small application resides on the clients workstation. There is no license limit to the number of workstations that are loaded with this software. Once files are transferred to MyTranscripts, they are immediately available for transcription using InScribe.

Transcriptions Processed by Client using InQuiry

After a dictation is transcribed and checked for Quality Assurance, clinic and hospital personnel can view, edit, electronically sign and print transcriptions. The InQuiry application is broken up into different sub-processes or modules that allow medical personnel to monitor the transcription through completion and placement in the medical record.

All transcriptions are accessed through the MyTranscripts servers using SSL (Secure Socket Layer) by Thawte. All transactions are completely secure and can only be accessed with an authorized username and password. This application as well as all others are included as part of the ASP or transcription cost.

Documents that require electronic signatures are watermarked with "Preliminary" until the clinician electronically signs them on-line. The Original versions of the documents, once signed, are routed automatically to Medical Records for placement in the paper record. Any document printed without "Medical Records Authorization" is watermarked with "Copy".

Hospital Transcription

The healthcare industry is looking at alternative network options in order to achieve more with less spending. The operating cost of a purely private network is increasing with each technological advancement. The demand to stay online round the clock is increasing.

EmrWorkforce can tap into the Hospital VPNs and deliver the services without physically or personally being there. The work will be accomplished on the hospital machines without any data leaving the premises. Our staff with access to such systems; have rigorous background checks before they are allowed to enter and deliver any work.

As a result of the increasing complexity-and cost-of private networks, many organizations are turning to Virtual Private Networks (VPNs). A VPN is a "private" network application that utilizes the public Internet as a wide area network (WAN) backbone. Because all connections to the Internet-based VPN are local, long-distance dial-up and leased line charges (the single largest operating cost of private networks) can be eliminated. Analysts predict, and users report, that VPNs can cut remote networking costs by half-or more.

Patient records and other security issues are the main hurdles in the way of widespread internet usage by the health care industry. Health Care Financing Administration (HCFA) establishes the first set of security standards covering sensitive health care information. The Health Insurance Portability and Accountability Act (HIPAA) builds on HCFA's work with proposed security standards that will bring the full benefits and cost-saving advantages of VPN technology to the health care industry. In fact, with the robust security provisions now available commercially for VPNs, the typical VPN is actually more secure than the typical private network.

EmrWorkforce’s VPNs will allow patients, doctors, medical organizations, insurance companies and government agencies alike to communicate effectively and economically in this new age of modern medicine.

Advantages of an Internet-based VPN are:

  • Lower networking costs—from 30 to 80%
  • Extend reach worldwide—with local access
  • Improve productivity easily and affordably
  • Achieve high reliability with the redundancy and resiliency of the Internet
  • Increase flexibility and simplify operations with a single per-site connection to an intranet, extranet(s) and the Internet
  • Leverage enhanced and expanded services that are unavailable in the Public Switched Telephone Network (PSTN), such as Internet Protocol (IP) Multicast
  • Take advantage of the proven interoperability of IP-based applications, especially the powerful user-friendly Web browser.
